Calculating the difference between two dates is something we all need at some point: knowing how many days are left until an event, how much time has passed since a milestone or meeting a contractual deadline. Here is how to do it, the different ways to count, and how to use our tool.

Calendar days vs business days

Day type What it counts Example (1 Jan → 10 Jan)
Calendar days Every day on the calendar 9 days
Business days Monday to Friday only 6 days (both inclusive)

The choice depends on what you need the calculation for:

  • Calendar days: contractual deadlines, pregnancy timelines, vacation periods, trial periods.
  • Business days: project delivery dates, court deadlines, work schedules.

The most frequent confusion: are both days included?

From 1 March to 3 March there are 2 elapsed days but 3 days if both are inclusive.

Our tool uses the usual elapsed days criterion for the total, and inclusive for business days — the most common in project planning.

From To Elapsed days Business days (inclusive)
1 Mar 3 Mar 2 3 (Mon, Tue, Wed)
1 Mar 7 Mar 6 5 (Mon–Fri)
1 Mar 8 Mar 7 5 (Mon–Fri; Sat and Sun excluded)
2 Mar (Mon) 6 Mar (Fri) 4 5

When do you need a date difference?

  • Projects: calculate delivery deadlines, sprints and milestones.
  • Education: days remaining until exams, study periods.
  • Pregnancy: weeks of gestation, estimated due date (280 days ≈ 40 weeks).
  • Vacations: remaining rest days, trip planning.
  • Contracts: delivery deadlines, trial periods, legal expirations.
  • Fitness: days since starting a routine, challenge tracking.
  • Anniversaries and events: days to or from a meaningful date.

Quick reference table

Period Approximate calendar days
1 week 7
2 weeks 14
1 month 28–31
3 months (quarter) 89–92
6 months 181–184
1 year 365 (366 in a leap year)
40 weeks (pregnancy) 280

Approximate mental calculation

To estimate without a tool:

  • Weeks = total days ÷ 7 (about 4 weeks and 2 days per month).
  • Months ≈ total days ÷ 30.
  • Business days ≈ calendar days × 5/7 (≈ 71 %).

Quick example: a 30-calendar-day deadline ≈ 21 business days (excluding holidays).

How to use our tool

  1. Select the start date (or press “Today” to start from the current date).
  2. Select the end date.
  3. Press “Calculate” and you will instantly see: total days, years-months-days, weeks and business days.
  4. Press “Reset” to return to the default values.

💡 If the start date is after the end date, the tool swaps them automatically so the result is always positive.

In many legal contexts (response deadlines, statutes of limitations), both days are counted inclusive, meaning 1 is added to the elapsed-days result. Always verify the counting rule of your jurisdiction.

Conclusion

  • Calendar days: every day on the calendar (suitable for general deadlines).
  • Business days: Monday to Friday, both inclusive (suitable for projects and contracts).
  • Holidays: the tool does not deduct them; add them manually if needed.
  • For legal deadlines, confirm whether both days are counted inclusive.
